             St. Cecilia School will provide a Christ-centered Catholic education through Spiritual formation; Character infused education, and Scholarly instruction.  We love and serve God through Excellence in Catholic education. 

PHILOSOPHY

             St. Cecilia endorses the call of the Catholic Bishops of the United States to express its educational ministry through the objectives of personal spirituality, social justice, and a strong academic program in accordance with the curriculum guidance for Catholic school education for the Diocese of Covington.  Just as Jesus was a teacher, we believe that St. Cecilia School is an integral part of St. Cecilia Parish's mission to assist our parents as their children's initial teachers.  We do this by formalizing and intensifying the Catholic education that has its origin in the Catholic home. St. Cecilia School provides a safe climate that challenges students intellectually, culturally, socially, spiritually, and physically.  Positive decision-making, critical thinking and spiritual development is fostered.  As emergent learners, students realize their importance in the global society to become responsible stewards to live and walk by faith.

ATHLETIC BOARD

             The Athletic Board is an important school service organization whose primary objectives are:
  • To promote and enhance the development of students outside the classroom by providing a sports program
  • To work under the guidance of the Catholic Schools Athletic Association to develop programs, policies, schedules
  • To teach and promote fairness, good sportsmanship and teamwork in a Catholic environment
  • To provide funding so that all students will have the opportunity to participate
 The sports that are available through St. Cecilia School are boys and girls soccer, (grades K-8), boys and girls basketball (grades 3-8), and girls volleyball (grades 4-8).  Scheduled meetings will be noted on the school's calendar.
ACADEMIC/ACCREDITATION

Accreditation

             St. Cecilia School is accredited through the Diocese of Covington.  The educational program meets the requirements set by the Diocese of Covington.  Teachers design the classroom instruction based on teaching objectives in accordance with the Diocese. 
Curriculum - Religion
             The sacraments of Reconciliation and First Communion are celebrated in the second grade.  Students in grades 3rd through 8th have an opportunity to celebrate the Sacrament of Reconciliation.  Eighth Grade students prepare for the sacrament of Confirmation.  Prayer and the richness of our Catholic culture are an intrinsic part of the school experience at St. Cecilia School.  Students begin the school day with prayer.  Every class prays the Rosary each day.  Students learn about and celebrate the lives of the Saints and the traditional devotions and observances by participating in prayer services and activities that are scheduled throughout the year. Opportunities for service put faith into action and are a part of our school mission.  All classes from Kindergarten through 8th grade have service projects in addition to school-wide projects. 
Curriculum - Academic Areas
             In addition to Religion, the students of St. Cecilia School receive a solid program of academic subjects that include:  Reading, Spelling, Vocabulary Phonics, Grammar, Writing, Literature, Mathematics, Science, Social Studies, Art, Music, Physical Education, Computer and Library.  Provisions are made for individuals who have differentiated learning needs.    At orientation and upon request, parents receive a Syllabus for each grade and/or subject area.  Each classroom teacher has prepared this document as a means of familiarizing you with the academic expectations and classroom procedures for each class.

Report cards are issued four times (approximately every 8-9 weeks) each school year. 
Fourth through Eighth Grade students receive percentage grades. 
Pre-School and Kindergarten students will receive reports starting the second semester. 
First - Third grade students receive age appropriate reports on their progress.   
Specials classes grades K -3,(Art, Music, and Computer) receive the following letter grades:  
S - Satisfactory   N - Needs Improvement     U - Unsatisfactory            
Grades 4th through 8th will receive percentage grades in Fine Arts, Music and Computer.

All official transcripts will be held if tuition, library fines or after school care program fees are in arrears.  
  

ADMISSION TO ST. CECILIA SCHOOL

 Philosophy of Admission   
          The mission of St. Cecilia School is to provide a Christ-centered Catholic education through Spiritual formation; Character infused education, and Scholarly instruction.  We love and serve God through Excellence in Catholic education.  All students participate fully in religious education and the program of the school.  

Non-Discriminatory Policy

             St. Cecilia will not discriminate against qualified applicants on the basis of sex, race, disability, nationality, or ethnic origin in the administration of its educational policies, admission policies, or other school programs. 

Ages for Admission

             Students must be five years old by the 1st day of October of the current school year in order to be eligible to enter kindergarten.  To enter first grade students need to be six years old by the 1st day of October of the current school year and must have attended a certified kindergarten or comparable five-year-old preparatory program in order to be eligible to enter first grade.

Priority for Admission

             Students will be accepted for admission to St. Cecilia School in the following order of preference: 
1)      Students who are currently enrolled in St. Cecilia School and their siblings.
2)      Siblings or children of students who have graduated from St. Cecilia School.
3)      Registered parishioners of St. Cecilia Church not currently attending St. Cecilia School.
4)      Registered parishioners from a neighboring Catholic Church that do not have a school.
5)      Non-Catholic students wishing to enroll and desiring a Catholic education.  Non-Catholic applicants and their parents will be accepted on the basis of a personal interview to be in accord with the mission and philosophy of St. Cecilia School.   

Requirements for Registration and Admittance

 To enroll a student, the parent or guardian must supply: 
-         Copy of a birth certificate
-         Social Security card (a copy will be made for our files, and the original will be returned)
-         A complete registration form for the student
-         Current Immunization Certificate
-         Medical Records
-         A Baptismal Certificate
-    Prior Academic Records        
-    Custodial records or any legal court orders 

Policy Regarding Transfer Students to St. Cecilia

 Students who are transferring from another school, or have special considerations for transfer, will not be allowed to register until after meeting and receiving prior approval from the Principal and/or Pastor. 

ATTENDANCE/ARRIVAL/DEPARTURE

             Success in school requires regular attendance.  A student who is absent misses valuable class instruction.  A child should not attend class, however, when it might be detrimental to his/her health or that of others.  When the child is absent, parents are to call the office in the morning by 8:00.  After any absence, a note, signed by the parent, is required for re-admission.  Frequent, long-term or excessive absences may warrant a note from a physician.  Absence for ANY reason disqualifies the student for a Perfect Attendance award.  Excuse notes are kept on file in the office.  Students are responsible for making up any missing assignments.  Punctuality is the key to success in the classroom.  Students who are tardy more than three (3) times in a quarter will meet with the school personnel and their parents to discuss plans to remedy this problem. 
Absence            
When a student is absent from school, a parent should call the office by 8:00 at 363-4314 ext. 54 (absentee line) each day of the absence.  If the office does not receive a call, a parent will be contacted.  Homework assignments may be picked up at the school office between 2:10 PM and 3:30 PM.  Students may also receive missed assignments from their teacher when they return to school.       
Tardiness
             A tardy is defined as a student who is absent up to ONE (1) hour of the regularly scheduled school day.  One-half (1/2) day attendance shall be recorded for a student who is absent one (1) to three (3) hours of the regularly scheduled school day.  A full-day absence shall be recorded for a student who is absent three (3) to six (6) hours of the regularly scheduled school day. 

Truancy is defined as a child leaving the school grounds or being absent from school without parent permission.  This will result in disciplinary action.

Leaving School

            If a child has permission to leave school early, the adult must sign out the respective student in the school office before leaving the building.  A Sign-In/Sign-Out Log is located in the main office.  Parents or guardians will meet student in the office.  If there is a question of a restraining court order, this should be submitted to the principal to be kept on file.

Arrival and Departure

            Traffic Flow for Morning Drop-Off, Afternoon Pick-Up and Private Transportation please enter using the north-side driveway in front of the church building, and exit using the south-side driveway that circles the rectory.  Traffic flow is ONE-WAY.       For Afternoon Pick-Up cars with students in both Primary and Middle School will need to park in the Undercroft parking lot.  Students in 5-8 with a sibling in grades K-4 will escort them to the Undercroft parking lot when dismissed.  Cars with only students in grades K-3 need to park in the upper parking lot, ALL others in the Lower Lot.    For the safety of the students, AT NO TIME may parents pick up their child(ren) behind the school.
AWARDS
             Students are recognized annually for their achievements in the following categories:  attendance, academics, overall performance and conduct.   The Crusader award is St. Cecilia's most prestigious award as it honors students in grades K-8 who exemplify the values of our mission statement.  These students have exhibited Catholic education through performance and daily interactions.   There are two academic awards, the A Honor Roll and the A/B Honor Roll.  Students in grades 2-8 who earn all A's and B's cumulatively in all academic areas and satisfactory marks in conduct and effort will be named to the Honor Roll.  Perfect attendance awards are given to students in grades K-8 who are present everyday and have not been tardy.    
CAFETERIA            
St. Cecilia School serves hot lunch, and provides the government lunch program each day school is in session.  Students have the choice of a plate lunch, peanut butter and jelly sandwich, cheese sandwich, or salad.  Milk or orange drink is served with each meal and is available to those who pack their lunch.  Fast food lunches are not permitted for either students or parents.  Breakfast is also available each day for .75 cents per day. The cost of lunch is one dollar and seventy-five cents ($1.75).  The cost of lunch for adults is two dollars ($2.00).  Please pay in advance either weekly or monthly.  Lunch tickets are on sale in the cafeteria each Monday morning before class begins. Each incoming family is charged a cafeteria fee of eighty-one dollars ($81.00).  A family member is asked to help serve lunch 9 times during the school year.  Each time that you meet this obligation you receive a $9.00 credit toward the fee.  If you work all 9 times within the school year, the $81.00 fee payment then carries over to the next school year.  If you are unable to volunteer in this way, you simply pay the cafeteria fee each year. Those who volunteer to work in the cafeteria arrive at 10:00 AM and are finished by 1:00 PM.  You may schedule work times with the cafeteria manager.  The menu and the names of workers come home monthly with the school newsletter.  If you are unable to work on your day, please call the Cafeteria Manager in the cafeteria at 363-4316 or 363-4314 ext. 13. 
Free and Reduced Lunch Applications for free and reduced lunches are distributed at the beginning of the school year.  All inquiries and applications are kept completely confidential.  If family status changes during the year, applications are available in the school office.  All those who are eligible are encouraged to submit an application.
CATHOLIC IDENTITY
 As stated in our Mission, the religious and moral training of our students is the most important part of our program.  All students, both Catholic and non-Catholic receive this training as one of their core subjects.  The religion classes follow the curriculum guidelines established by the Diocese of Covington and are under the jurisdiction of the Pastor.  St. Cecilia School exists because it is a covenant parish.  Parents, pastor, principal, teachers and all staff believe in the efficacy and necessity of Catholic education.  We believe we have a social responsibility to stimulate the spirit of inquiry, to develop the acquisition of knowledge, and to aid in the formation of values and goals.  We provide an atmosphere that challenges students intellectually, culturally, socially, spiritually, and physically.  We encourage self-learning, critical thinking, and positive decision-making.  We endeavor to give students an understanding of their place in today's global society.  Through prayer, liturgy, and service, we teach our students to become responsible stewards as they live out their Gospel call. 
Mass
Students and teachers attend Mass twice each week.  School Mass is at 8:00 a.m. Monday and Friday.  Parents are welcome and encouraged to attend.
COMMUNICATION WITH SCHOOL
             Open communication between home and school is vital to the education process of our students. 
Conferences
             Parent-Teacher conferences are considered one of the primary sources of communication between the parents and the teachers.  Parents and teachers may use conferencing throughout the year by e-mails, telephone, letters or face-to-face meetings.  On the report card both teacher and parent may indicate what type of conference they would like and the date and time.  We encourage parents and teachers to communicate on a frequent basis.  The Wednesday newsletter documents important information to parents from St. Cecilia School and staff.  
Newsletters
             A St. Cecilia School newsletter will be sent home every Wednesday through our web site: www.stcrusaders.org.  The newsletter contains vital information including calendar updates, menus, and reports of past and upcoming student activities.  Inserts from the Athletic Committee, the PTO, or the Counseling Department may also be included.  Please make sure to read each edition carefully.  In addition some classroom teachers send home weekly class newsletters. 
Notification of Change of Information
             Parents should notify the school office promptly of ANY CHANGE in name, address, telephone number, or marital status.  Name changes for students require official court documentation before new names may be used at school.  Promptness and accuracy of notification are essential in order to maintain school records and to facilitate communication with the home - especially in cases of emergency. 
CRIMINAL RECORDS CHECK
             All adults who work, volunteer, or chaperone in the school, must have a criminal records check and be Virtus compliant, which is on file in the school office.  Forms can be picked up in the school office at any time.  If the records check indicates areas of   concern, it is the duty of the school administration, after consultation with the appropriate authorities, to restrict the individual from designated access in the school. Everyone must also complete the Protecting God's Children workshop (offered throughout the year by the Diocese).  Once you have completed the workshop, the Diocese requires that you remain updated through the VIRTUS Training Program that is on-line.
DISCIPLINE
             The essence of Christian discipline is self-discipline.  The code of discipline at St. Cecilia School is to be a positive means of helping each student recognize appropriate behavior and growth in self-discipline.  The student is free to choose one form of behavior over another, but he or she must learn to accept the consequences of that choice. St. Cecilia School students are expected to conduct themselves properly at all times.  Good conduct is expected on field trips, school activities held off campus, athletic events, assemblies, etc. - wherever students are representatives of the school.  We also expect parents to serve as positive examples of fair play, sportsmanship and respectfulness toward their own children and others.  Parents will be contacted by teachers or the administration concerning unsatisfactory conduct.  It is imperative that parents and teachers work together in this respect to assure student success.    Any misuse of electronic communication that would defame a student, staff member, faculty member, church or school, or any repetitive misbehavior that is detrimental to the mission statement of St. Cecilia Catholic School, will be subject to severe discipline, and or expulsion.
School Safety/Harassment or Bullying
St. Cecilia School provides a safe environment for all individuals.  Verbal or written threats made against the physical or emotional well being of any individual are taken very seriously.  Students making such threats face disciplinary action.
Harassment of any type is not tolerated.  The principal investigates all complaints and harassment.  Students involved in harassing behavior face disciplinary action.
  

DRESS CODE

Parents may also order online from French Toast: www.Frenchtoastiniforms.com.  All students must be in uniform every day.  There will be out-of-uniform days, which will be announced during the course of the school year (a dress code for such days is included in this section).
 Uniform Guidelines
Dress Code - Girls
 Uniform  - Regulation blue plaid jumpers for grades K- 3, regulation blue plaid skirts for grades 4-8.  Skirts and jumpers must be knee length. 
Skorts are not allowed.  All pants must be worn at the waist. 
Blouses  -  White or light blue blouses with collars or white or light blue polo shirts are permitted.  Shirttails must be tucked in neatly and completely at all times.  Only Middle School students (grades 4-8) may wear the red Middle School logo shirt. Only a plain white undershirt may be worn. 
Pants - Regulation uniform navy blue dress slacks must be worn.  Stretch or knit pants are not allowed.  If there are belt loops, a black, dark blue or brown plain belt must be worn.   During the winter months (November 1 - March 31) girls may wear plain navy blue sweatpants under their uniform during arrival, recess, and dismissal.  (To avoid loss of instructional time, only Kindergarten girls will be allowed to keep their sweat pants on during the day).  Solid red, white, or navy blue tights may also be worn during these months.   Makeup  - No cosmetics, lip-gloss, colored chapstick, nail polish, or artificial nails may be worn.   
Hair Accessories:  Hair accessories should contain the colors of the uniform and not distract from learning. 
Dress Code - Boys
 Pants -  Regulation uniform navy blue dress slacks must be worn.  If there are belt loops, a black, dark blue or brown plain belt must be worn in First through Eighth Grades.  All pants MUST be worn at the waist.   
Shirt -  White or light blue shirts with collars or white or light blue polo shirts are to be worn.  Shirttails must be tucked in neatly and completely at all times.   Only Middle School students (grades 4-8) may wear the red Middle School logo shirt.  Only a plain white undershirt may be worn and have no writing, pictures, logos, etc.     
Dress Code - BOTH BOYS AND GIRLS
 Sweatshirts     The St. Cecilia sweatshirts may be worn as part of the uniform.  Solid navy blue, red or gray sweatshirts are also permitted.  No sweatshirts with commercial logo, pictures or lettering, including hoodies with or without zippers, are permitted for inside attire. 
Sweaters  - SOLID navy blue, red or gray cardigans, pullovers, V-neck or vests are permitted.
 Shoes - Dress shoes are optional.  Athletic/gym shoes may be worn.  Shoes with laces must be tied at all times.  Clogs, backless shoes and dress boots are NOT permitted.   Socks  - Plain white, black or dark blue socks covering the ankle (crew/anklet socks) can be worn.  Small logos are acceptable on socks.  Tights in solid white, red, or navy are permitted during winter months.  Socks or tights must be worn at all times and visible.  St. Cecilia socks are available for sale at the school office. Shorts - Students may wear uniform shorts through October 31st and from April 1st to the end of the year.  Shorts must be plain navy blue uniform shorts - no gym, biker or skort style.  The uniform shirt or blouse must be worn with the shorts. 
Jewelry           Girls may wear simple stud earrings.  Both boys and girls are permitted to wear simple religious necklaces and/or watches.  No rings, bracelets, anklets are to be worn.  No body piercing except girls with pierced ears.  Boys may not wear earrings. 
Dress Code - Boys and Girls - Miscellaneous
  • Pants/slacks that look like jeans, have oversized pockets, are oversized or excessively tight are not permitted.  Pants with holes or rips in them are not permitted.
  • Boy's hair must not touch the top of the shirt collar.  Boy's bangs must be ABOVE the eyebrows and trimmed around the ears.
  • Extreme hair coloring and bleaching is not permitted.
  • Good personal hygiene must be maintained . . . deodorant, mouthwash, dental, etc.
  • Any "fad", including hairstyles that the principal and staff designate as improper for school, will not be permitted.
  • Students must conform to the dress code for field trips unless the nature of the trip requires another type of dress, in which case the parents will be notified.
  • Out-of-Uniform Days permit students to dress according to the activity of that specific school day.  Such items as biker shorts, short-shorts, halter-tops, shirts with off-color slogans, flip-flops, etc. are not permitted.
 A student failing to conform to any items of the dress code will be given a warning.  At the discretion of the principal, subsequent offenses will result in calling the parents to bring proper items of clothing to school.  Any exception to the dress code regulations necessitates a note signed by the parent and approved by the principal. 
DRUGS AND ALCOHOL
             Students who possess drugs and/or alcohol at school or at any school function face disciplinary action. 
FACULTY MEETINGS Faculty meetings are held regularly immediately after dismissal.  Teachers are not available on these days to give additional help to students or meet with parents.  NO children are to remain after dismissal on these days. 
FAMILY VACATIONS Parents who take vacations, which require a student's absence from school, are asked to discuss the matter with the teacher in advance of the date of absence.  While no assignments prepared by the teacher can substitute adequately for actual instruction, the school will assist the parent and student in whatever way possible.  Make-up work may be provided after the student returns to class.  WE STRONGLY DISCOURAGE vacation that keep students from attending school. 
FIELD TRIPS
             Field trips enhance the educational experience.  Since field trips have an educational purpose, they are not an optional experience for students.  However, students may be denied participation if they fail to meet behavioral requirements.  A permission slip will be sent home prior to the planned trip.  The approved form MUST be signed by a parent or guardian and returned to school by the specified date.  NO STUDENT WILL BE PERMITTED TO GO ON ANY FIELD TRIP WITHOUT THE PROPERLY SIGNED, APPROVED PERMISSION SLIP.  (For your convenience field trip forms are available to download from our website.)   Students will be assessed a fee to cover transportation and any entrance cost involved.  Should a student be absent/unable to attend, there will be NO refunds given for any costs which must be covered by the school.    When school buses are the mode of transportation for the field trip, ALL STUDENTS WILL RIDE TO AND FROM THE FIELD TRIP ON THE BUS.  There will be no exceptions. 
GRIEVANCE PROCEDURE At times, disagreements may occur between parties regarding school matters.  The Grievance Procedure is as follows:  Step 1) discuss the matter directly with the staff member (teacher) involved.  If the situation is not resolved at that level, proceed to Step 2) schedule appointment with principal.  Again, if the problem is not resolved there, go to Step 3) schedule appointment to discuss with the Pastor.  If there is still no resolution, Step 4) requires that a written grievance should be sent to the Board of Total Catholic Education (BOTCE) where it will be reviewed to determine whether it should be referred directly to the Diocese of Covington. 
HOMEWORK
                        The purpose of homework is to develop habits of independent useful study.  Homework assignments supplement the daily work of the classroom.  Homework strengthens and reinforces skills learned in class.  Homework may broaden experience, introduce new questions and interests and extend knowledge.  It is the responsibility of the student to complete all homework assignments on time. The amount of time spent on homework each evening should be approximately: 
·        Grades K-2            10-20 minutes
·        Grades 3-4             40-50 minutes
·        Grades 5-6             60-75 minutes
·        Grades 7-8             75-90 minutes 
Consideration must be given to the fact that children work at different paces and may take longer to complete their work.  Also, longer-term assignments may require children to spend some extra time. Students in grades K-8 are required to have a student planner (which is included in school fees) and write down assignments daily.  This standard book will be used by ALL students daily and signed by parents each night.  Failure to turn in assignments may result in a lowering of the grade. 
IMMUNIZATION
 Kentucky law requires that immunization records and school medical examination forms (physical form) be up to date and on file in the child's permanent record.  Qualified personnel in conjunction with the school and Health Department review student records to insure that every child is in compliance with the state regulations.   
Medical Examination Requirements
             State law requires a medical examination form be completed by the family physician for students new to St. Cecilia School.  All immunization certificates must be kept up-to-date.  All students entering the sixth grade are required to have a physical before entering that grade; an MMR booster shot is also required at that time.  
ITEMS BROUGHT FROM HOME    The school and its personnel cannot be held responsible for items brought from home that are misplaced, lost, stolen, or broken during the school day.  All toys, games, stuffed animals, etc., must be left at home. Students may not have pagers, or electronic games in the school building; they must be left at home.  (See p. 23)  
LIBRARY
             The school has a well-equipped automated library.  Students are encouraged to use the library for curricular enrichment and pleasure reading.  Borrowed books are to be returned on time and in good condition. 

LOST AND FOUND

             Any items found in the school building or on the school grounds should be given to the school receptionist to be placed in the Lost and Found basket.  Items placed in the Lost and Found remain there for 30 days.  After 30 days, items are donated to charity. 
MEDICATION
             The school will administer first aid, but will not administer medication of any kind without parent direction.  All prescription medication must be sent to school in its original container with the prescription label, which includes the physician's directions for dispensing attached.  Non-prescription medications should also be sent in the original container with the student's name on the container.  An authorization form signed by the parent is required to give any medication to a student.  The information on the form includes the name of student, the type of medication, the dosage amount and the time the medication is to be given.  A record is kept in the school office of each time a student is given medication.  An authorization form to allow the school office to dispense medication is located in the back of this handbook and online.    Students are NOT allowed to carry medication - prescription or non-prescription - with them during the day.  There is only one exception: upon physician recommendation, students may keep an inhaler in their possession.  Permission for this must be in writing and on file in the school office.  (See Medical Forms and Appendixes)  All medications, excluding cough drops and EPI pens, will be kept in the office. 

PARENTS AS PARTNERS AND THEIR ROLE IN EDUCATION

 *Throughout this handbook, when the word "parent(s)" is used, it also refers to "guardian(s). We, at St. Cecilia School, consider it a privilege to work with parents in the education of children because we believe parents are the primary educators of their children.  Your choice of St. Cecilia School involves a commitment and exhibits a concern for helping your child to recognize God as the greatest good in his/her life.
The Role and the Responsibilities of the Parent at St. Cecilia School: 
  • Read and understand the rights and responsibilities in the handbook.
  • Maintain up-to-date address and home, work, and emergency telephone numbers at the school, including doctor and hospital preferences.
  • Be involved in the education of your children and understand that parents/guardians can be held responsible for the actions of your children.
  • Inform the school of pending legal matters that may affect the student.
  • Maintain communication with school personnel concerning your child's progress and conduct.
  • Insure that your child is in daily attendance and promptly report an absence or tardiness in writing to school.
  • Provide your child with the resources needed to complete class work.
  • Assist your child in being healthy, neat, and clean.
  • Identify responsible adults who may pick up your child from school.
  • Bring to the attention of school authorities any problem or condition which affects your child or other children of the school.
  • Understand policies related to the dispensing of medicine to students and the prohibitions of student self-medicating and sharing medications with other students.  Notify the school of anything that may affect the student's ability to learn, to attend school regularly, or to take part in school activities.
  • Understand St. Cecilia School's guideline for student arrival on campus prior to the official start of the school day and student departure from campus at the end of the school day.  Comply with transportation policies and understand that bus drivers may not allow students off the bus except at the designated stop unless permission is granted by St. Cecilia School and the Kenton County School District transportation department.
 At St. Cecilia School, teachers expect to communicate with parents about their child's progress.  If the teacher is unable to help, you should then approach the next person in the "chain of support" - generally the guidance counselor and school administrator.  To assist you, please remember these tips are for successful parent-school communication and/or conferencing.   
  • Have a plan.  Write down your questions and/or concerns before you go.
  • Listen carefully and ask questions.  The more effective the communication between you and the teacher, the better you will understand each other.
  • Ask for examples of your child's work.
  • Request grades, homework calendars, or other records of student progress.  Ask for guidance in a student improvement plan.
  • Before leaving, schedule a time with the teacher to follow up on your child's progress.
  The Role and Responsibility of the Student is to: 
  • Read and understand the rights and responsibilities in the code.
  • Abide by the rules and regulations of the school and each classroom teacher.
  • Attend all classes daily and be punctual in attendance.
  • Be prepared for class with homework and appropriate work materials.
  • Be respectful of all individuals and property.
  • Use appropriate language.
  • Behave in a safe and responsible manner.
  • Be clean and neat and comply with the school uniform policy.
  • Be responsible for your own work.
  • Report knowledge of dangerous or harassing situations to school.
  The Role and Responsibility of the School is to: 
  • Create a safe, orderly, and drug free environment and maintain an atmosphere conducive to teaching and learning, and Catholic identity.
  • Exhibit an attitude of respect for students, staff, parents, and visitors.
  • Administer discipline based upon fair and impartial treatment of all students.  Plan a flexible curriculum to meet the needs of all students.
  • Promote training for all staff in the areas of effective discipline and behavior management.
  • Develop a good working relationship among staff and with students.
  • Encourage frequent parent/guardian communication with the school.

PARENT PARTNERSHIP PROGRAM

             The vitality and effectiveness of St. Cecilia School depends upon the commitment of parents.  In order to promote family involvement, parents are required to be involved in the life of the school and parish.  St. Cecilia School's emphasis on our mission - We love and serve God through excellence in Catholic Education - is not only for our students, but also for parents.     A minimum of twenty (20) adult service hours per family is required per school year.  Any activity that assists our school or parish community is acceptable.  A few examples are:  working a SCPTO fund raising function, working at the parish festival, coaching or working for a sports committee, or assisting in the classroom.  One exception is Cafeteria Duty.  The nine times you are scheduled for cafeteria duty will reduce your yearly cafeteria fee.  This is a separate program and not eligible toward the twenty service hours under the Parent Partnership Program.   Each family is required to keep a record of their service hours.  This log is located in the back of the Handbook.  The record should include the date, number of hours, type of service and signed off by the person coordinating the activity.  As soon as the twenty hours have been accumulated, the log is to be submitted to the school office.  Service logs are due by April 17th.  Failure to participate will result in a fee of $5.00 per service hour, not to exceed $100.00 (billed in May).              
PROMOTION AND RETENTION
             Students are promoted to the next level on an annual basis.  If a student does not attain satisfactory achievement, the possibility of retention will be considered.  Parents are kept informed of the student's progress through Report Cards, Progress Reports, parent-teacher conferences and communication from the Principal.  The parents are always consulted about retention and the best possible decision is made for the good of the student. 
Eight Grade Commencement
 Ceremonies marking the successful completion of the work required of the eighth grade students will take place at the end of the school year.  The Diocese of Covington Board of Education policy allows only a simple ceremony.  St. Cecilia School celebrates Commencement by having a Mass and a recognition ceremony. 

RECORDS

Student Records
             St. Cecilia School adheres to the Buckley Amendment (Family Education Rights and Privacy) regarding access to student records.  Records of students transferring to other schools will only be sent through U.S. mail.  No records will be given to parents to transport to the new school. 
Emergency Forms
             Each child must have a current emergency form on file in the school office.  We must know how to contact a parent or guardian in case of an emergency.  Please notify the school immediately if there is a change of address, phone or authorization of who to contact.   
SAFETY DRILLS
             In accordance with state regulations, fire, tornado and earthquake drills are held regularly.  The exit routes and procedures for each type of drill are posted in each classroom.  Students are expected to remain silent and to follow the safety regulations for all drills.  St. Cecilia School has an emergency procedure plan in place in compliance with diocesan policy.  Each year the school personnel is trained in the additional safety procedures as identified by this school emergency plan.           
SCHOOL DIRECTORY
             A school directory is issued within the first quarter of the school year.  The directory lists the following information: 
  • Phone extensions for teachers and staff.
  • List of names and phone numbers for SCPTO officers, committee chairpersons, Scrip information, and Market Day information.
  • Listing of school families (Authorization to publish information is necessary for your family to be included in the directory).
  • Class lists.
 The student directory should be used to acquaint parents with the names of their child(ren)'s classmates and parents.  These directories should not be used or sold for other purposes. 
SCHOOL  HOURS
 Grades K - 8:  7:30 AM - 2:15 PM.  Students not in their homeroom at 7:30 AM are considered tardy. The school doors are opened for students at 7:00 AM.  Students arriving at that time go to their appointed areas until they are dismissed to their classrooms at 7:20 AM.   Prayer and afternoon announcements begin at 2:05 PM each day.  Dismissal process starts immediately following announcements.  Please check the school calendar and weekly newsletter for early dismissal dates.    

Bus Riders and Car Riders

             If your child(ren) have a change in venue, a note must be presented to the classroom teacher if there is a change in transportation for that day. 
AFTER SCHOOL PROGRAM    Students may attend our After School Program at St. Cecilia School.  After Care operates from 2:30 - 5:00 PM, Monday - Friday.  Call 859-363-4314 to register your child.  
SCHOOL OFFICE HOURS     The school office is open on all school days from 7:00 AM - 3:30 PM.  Parents are notified of summer office hours via the school newsletter. 
SCHOOL ORGANIZATIONS SCPTO (St. Cecilia Parent-Teacher Organization) St. Cecilia School has an active parent organization, which raises funds for school-wide improvement projects and for items needed in the classrooms.  Meetings are held four times (once a quarter) during the school year and parents are encouraged to attend. 
Board of Education The Board of Total Catholic Education is comprised of parents,  faculty representatives, parishioners, the Pastor, the CCD coordinator (or designee) and the principal.  The purpose of the BOTCE is that of an advisory group and enables representatives to work with the pastor and school authorities in sharing ideas and in forming policies for the betterment of Catholic education.  Meetings are held monthly.  Times and dates are posted on the website.

SCHOOL PROPERTY - LOCKERS             Each student is assigned a locker or cubby in which to store clothing and textbooks.  In order to maintain a quiet atmosphere for class, students are allowed to go to their lockers only at specified times.  The school reserves the right to inspect lockers at any time.      

SCHOOL VISITORS

             School visitors (volunteers, parents, etc.) must come through the main entrance into the school.  For safety and security reasons, ALL VISITORS are required to sign in at the office when entering the building for ANY reasons.  All visitors and/or volunteers are required to sign in and out and wear a designated badge that may be picked up in the office.               No parent may visit the classroom during instructional time without prior knowledge and permission from the school office and classroom teachers.

Non-Custodial Parent

             St. Cecilia School abides by the provisions of the Buckley Amendment with respect to the rights of non-custodial parents.  In the absence of a court order to the contrary, we will provide the non-custodial parent with access to the academic records and to other school related information regarding the student.  If there is a court order specifying that there is to be no information given, it is the responsibility of the custodial parent to provide the school with an official copy of the court order to be placed in the student's cumulative record. 
SPORTS The St. Cecilia Sports Committee offers a wide range of sports opportunities.  Teams are available for ages 4-year-old through 8th grade.  This committee and sports teams that use the name of St. Cecilia work in conjunction with the school, but are not specifically school programs.  The Sports Committee offers soccer, basketball and volleyball.  Soccer is offered to any child, parishioner or not (ages 3-15 years).  Basketball and Volleyball are offered only to students of St. Cecilia School.    
STANDARDIZED TESTING
             St. Cecilia School follows the program set up by the Diocese of Covington Department of Catholic Education.  Grades 2, 3, 4, 5, 6 and 7 take the IBTS test for academic achievement.  Results for each child tested are reported to parents.  Once each year, an information night is scheduled to present test results and other pertinent information to school parents. 

SUPPLEMENTAL SERVICES

 Resource Teachers - St. Cecilia School has part-time Title I and Speech teachers.  Students who qualify for Title I and Speech services and those referred by the classroom teacher receive additional or small group instruction. 
Counseling Program - The counseling at St. Cecilia School consists of individual counseling, small group counseling and whole class instruction.  The main objective of the counseling program is to foster a strong sense of self-esteem and emotional well-being.  Parents, teachers and school administrators may refer students for individual counseling.  Counseling is provided for educational purposes and all standards of confidentiality are maintained.  Though all on-going counseling services require parent permission, it is understood that the counselor may meet with a student individually on an as-needed basis for minor student needs in the areas pertaining to health, learning, or peer relations.  These meetings will be documented and reported to the parent or guardian, but will not require prior written permission.   If you have a counseling emergency or require immediate assistance contact the Catholic Social Services at (859) 581-8974.
Testing Referral - Students at St. Cecilia School who are experiencing academic or psychological difficulties can receive testing through Kenton County or through a private practice.  This process creates a 3-way communication between parents, school and psychologists and provides insightful information and recommendations that enable the school personnel to better structure instruction to meet the needs of the student. 
Speech - Speech difficulties that could interfere with academic performance will receive testing through Kenton County or a private practice.  Speech intervention will be implemented through the Kenton County School District for all children who qualify.    
TECHNOLOGY
             Students at St. Cecilia School have access to technology in the following ways:            
1.   All classes are equipped with Smart Board to enhance instruction.
2.      Grades K-8 have computer class at least once a week in the school's computer lab.  Each classroom has at least one multimedia computer.  This computer is used at the discretion of the classroom teacher.
3.      All classrooms have access to a TV and VCR/DVD.
4.      Students have access to the Internet in the Computer Lab. 

TELEPHONE

             Neither teachers nor students will be called to the phone during class hours.  Important messages will be taken by the office staff and relayed to the person concerned.  Students may not be permitted to use the phone to contact parents for missing homework, clothing, permission slips, or change of plans unless initiated by the school. Students are strongly discouraged from bringing cell phones to school.  If parents want their children to have a cell phone for use after school, the student must leave the phone in the school office until the end of the school day.  Students who fail to leave their phone in the office will have their phone confiscated until a parent can pick it up.  St. Cecilia School is not responsible for lost or damaged phones.  

TRANSFER OF STUDENTS

             Notice of withdrawal of a student should be made by the parent in writing to the Principal in advance of the withdrawal date.  This enables the school to prepare necessary information and settle accounts.

TRANSPORTATION

Private Transportation Days
             There are days when Kenton County Schools are not in session and the school buses do not operate.  On those days that our school is in session and the public school is not, all students must be dropped off and picked up.  Car pool if possible and remember to allow extra time because of the increase in traffic.  Morning Drop-Off and Afternoon Pick-Up procedures are the same on Private Transportation Days.  We do ask that you notify your child's teacher in writing if your child is to be picked up by someone else other than the parent or guardian on Private Transportation Days.
School Bus Transportation
             The Kenton County Schools provide bus service.  This bus transportation should be arranged between the parent/guardian and the Kenton County Bus Garage.  For more information, please call the Bus Supervisor/Coordinator at 356-5050. Pupils riding the school buses are under the direct supervision and direction of the school bus driver.  The driver has the authority and responsibility for seeing that the rules and regulations of safe and appropriate conduct on Kenton County buses is enforced.  The students who ride the school bus are to conduct themselves in a manner that will not endanger the lives of other pupils on the bus by causing distractions of the driver's attention.  Students are to comply with the driver's instructions.  If a driver finds it necessary to report a pupil for misconduct on the bus, the bus driver will write out a bus incident slip.  This is delivered to the school principal who will notify the student's parents of the misconduct. 
School Closing
             In the event of inclement weather, it is important to listen to School Reach, television, or radio for information relative to school closing.  St. Cecilia DOES NOT follow Kenton County School System for closings and delays.  Be advised that there is a St. Cecilia School in Ohio; listen for St. Cecilia School in Independence.  School is dismissed at the regular time (2:15 p.m.) on days with a delay in opening.  Morning preschool is canceled if we are on a delay.  The final decision for closings or delays rests with the principal.  
Early Dismissal/Inclement Weather
              If the weather deems necessary for early dismissal, St. Cecilia School will notify local television and radio stations to make an announcement.   School Reach is a computerized automated system that contacts parents on home phones or cell phones to inform them of school closing, early releases or delays.  It is important that you keep the main office updated with a change of home phone numbers or cell phone numbers.  It is also pertinent to fill out names of parents, relatives or friends that you will allow your child(ren) to pick up when you are unable. Students who are walkers will need parental permission to walk home on early dismissal days.  It is important that the students' emergency contact numbers and e-mail addresses be kept current. 

  

TUITION

             Tuition and student fees are combined into one total for convenient payments through Smart Accounts.  Tuitions costs cover the salaries and wages of school personnel.  Student fees are specifically used for operating expenses of the school, i.e. use of books, E-Grades, E-Report Card, School Reach, paper, notebooks and other printed materials, technology and other expenses.  St. Cecilia PTO fundraisers, gifts, grants and church subsidy also are used for operating expenses.  Your account may be viewed on line at www.Smarttuition.com  
VOLUNTEERS A school that runs smoothly and assures a good learning environment for the students requires the cooperation of many people.  Volunteers are needed in many areas.  St. Cecilia School volunteers are mindful to guard as sacred and private any/all information attained while in service that references a student's behaviors, grades or abilities.  The confidentiality of the student must be strictly respected.  The Family Educational Rights to Privacy Act (FERPA) is in effect at St. Cecilia School. 

WITHDRAWAL POLICY

 -         Families must notify the school in writing if a student is withdrawn from the school.-         Registered students who withdraw before the first full day of school are responsible for the full amount of student fees.-         The school will not forward academic records for students who withdraw with an outstanding balance. 
RIGHT TO AMEND
             The policies outlined in the school handbook are to be interpreted as guidelines that may require periodic reconsideration and changes.  If a need for policy addition or change comes about or a concerned party wishes to have a policy addition or change considered, the following steps will be followed: 1.      A recommended policy or policy change is submitted to the BOTCE and read at a board meeting.  A first draft of the policy/change is put in writing after initial board discussion and feedback.2.      The policy/change draft is distributed via school "White Envelopes" or other means deemed appropriate by the board to all parents and others affected for the purpose of collecting feedback concerning the proposed policy/change.  The policy/change information must be available to these members for a minimum of two weeks before being considered again at a board meeting.3.      After receiving feedback concerning the policy/change, the board will discuss the proposed policy/change again.  The board may then either agree to a final version of the proposed policy/change or, if the feedback received substantially changes the original proposal, redistribute a new draft in accordance with step two before continuing to step four.4.      The proposed policy/change is submitted for approval to the Pastor.  With the Pastor's approval the proposed policy/change will be incorporated as a new policy. Policies will be reviewed and renewed every three years at a minimum.  The Board may choose however, to review, revise, or revoke any policy at any time.
